 We hope you enjoyed the holiday period and were able to spend some time with loved ones.

 Now to the serious stuff!

 As you know we are passionate about compliance. We want to ensure all of our clients are as compliant as possible whether it be with your Accreditation modules and/or Chain of Responsibility. With our team of auditors and compliance consultants, we are seeing an ever-trending pattern that companies and businesses want to be compliant but don’t know where to start, or they have the material but not the time to complete it.

 We want you to know - we hear you!

 We understand the challenges the transport industry faces every day, but we also see the devastating effects of what happens when something does go wrong.

 For example, earlier this year, an incident occurred where a driver landed in some hot water. Swerving to miss some potholes seemed like the normal, sensible thing to do, right? To other drivers and even pedestrians, it can look like the driver is either drunk or has fallen asleep. Unfortunately, the driver was being filmed and the authorities were notified.

 The Police Heavy Vehicle Unit (the “Taskforce”) attended, unannounced, at the company office and demanded the operator produce records related to the driver, however they couldn’t produce any because it hadn’t been completed.

 This sparked an investigation into the driver and the company employing him, and a prosecution is likely as the company did not have the mandatory records related to their driver and the vehicle.

 Don’t let it happen to you.

 Don’t wait until after something has happened to kick start your compliance requirements.

 Investigations by Police into complaints by the public, vehicle crashes and compliance with the Heavy Vehicle National Law (HVNL) will always include a thorough check of driver and company records related to Heavy Vehicle use.

 All operators must keep full records of driving hours, regardless of whether a Work Diary is required to be used. Driver records should also be double checked to ensure they are correct, true and within the applicable limits.  

 How to stay compliant under Chain of Responsibility.

 If you want to be compliant but are not sure where to start, we have a great Chain of Responsibility program.

 Our yearly program gives you all your Policies and Procedures, as well as compliance books and ongoing support from us. Each month we email you checklists to complete based on the topic of the month. By completing the monthly tasks, you will continue to stay compliant and meet your minimum legal obligations. Some months will include training presentations, employee assessments and every year we provide updated Policies and Procedures.

 This year we’d like to step it up a notch and provide quarterly webinars to assist our Chain of Responsibility clients to complete their monthly tasks. We will run 1 hour sessions, every quarter, to assist those who need a bit of extra help, in an online group environment. These webinars will be a great resource if you have a new compliance officer or if you just need a helping hand with your tasks.

 How to stay compliant with NHVAS Accreditation. (Mass, Maintenance, Fatigue)

 If you are accredited with NHVAS accreditation modules, get your white manual out and look for your Quarterly Compliance Statements and Annual review checklist. These 2 templates will assist you to become compliant.

 The quarterly compliance statement must be completed quarterly (as the name suggests) and is an internal review of your quarterly performance for your accreditation. Our templates and instructions should step you through how to complete it. Once you’ve completed this, keep it stored either electronically or in your manual, whichever you prefer. Please don’t send it to us.

 The annual review checklist must be completed yearly and before an audit. We have marked a specific date on your annual review (this varies depending on what accreditation module you have). This checklist is a great way to ensure you are meeting your accreditation requirements.

 These documents are a must for your audit and are commonly missed or operators spend the weeks leading up to an audit completing them for the previous 2 years, which is less than ideal.

 We also have an electronic Mass Accreditation System, known as Kiri Align. This system has been developed to ensure, by completing the required checklists, you will be meeting your accreditation standards. All load weights can be entered via the app and gives drivers real time alerts when they are overloaded. Quarterly Compliance statements are done in less than a minute.
